Our Terms & Conditions outline the policies, procedures, and expectations for all swimmers and parents, including bookings, payments, attendance, cancellations, and lesson guidelines.
QUICK SILVER SWIMMING ACADEMY (QSSA)
Terms & Conditions of Enrolment
These Terms & Conditions form part of the enrolment agreement between Quick Silver Swimming Academy ("QSSA") and the parent/guardian or adult swimmer.
By enrolling, you acknowledge that you have read, understood and agree to these Terms & Conditions.
1. Enrolment
1.1 Enrolment is for one complete school term, in accordance with the Western Cape Education Department (WCED) school calendar unless otherwise advised by QSSA. 9 lessons are guaranteed per term.
1.2 A swimmer's place is reserved for the full duration of the term.
1.3 Enrolment automatically continues into the following term unless written notice of cancellation is received in accordance with Section 8 of this agreement.
2. Swimming Fees
2.1 Swimming fees are charged per school term and not per lesson or calendar month.
2.2 Full payment for the entire term must be received before the first swimming lesson of each new term. Fees can be paid in 2parts only
2.3 Swimmers whose fees have not been paid before the commencement of the term may not participate in lessons until payment has been received.
2.4 QSSA reserves the right to suspend swimming lessons until all outstanding fees have been settled.
2.5 Any payment arrangements offered by QSSA are at the sole discretion of management and may be withdrawn at any time.
3. Missed Lessons
3.1 Swimming fees secure your reserved lesson time and instructor for the duration of the term.
3.2 No refunds, credits or make-up lessons will be provided for lessons missed due to:
- Illness
- Holidays
- School activities
- Family commitments
- Transport issues
- Any other absence by the swimmer
- We do offer make-up lessons, but if you miss a make-up lesson, the option won't be offered again. Public holiday lessons fall away unless it affects your x9 lessons for the term, for which a make-up lesson will be offered
3.3 Where possible, QSSA may, at its sole discretion and subject to availability, offer a replacement lesson if another swimmer cancels. This is not guaranteed.
3.4 Parents are requested to notify QSSA as early as possible if their child will be absent.
4. School Holidays & Public Holidays
4.1 QSSA follows the official WCED school calendar.
4.2 Swimming lessons do not take place during scheduled school holidays or on public holidays unless otherwise communicated.
4.3 Term fees remain payable in full as they are calculated over the entire school term and not according to the number of calendar weeks attended.
5. Parent Responsibilities
Parents/guardians agree to:
- Ensure swimmers arrive 5min before the lesson starts.
- Supervise children before and after lessons.
- Notify QSSA of any medical conditions, injuries or changes in health.
- Ensure contact details remain up to date.
- Treat coaches, staff and other swimmers with courtesy and respect.
6. Pool Deck Policy
To maintain a safe and focused learning environment:
- Parents are not permitted on the pool deck during lessons.
- Exceptions may be made during a swimmer's first lesson or when specifically invited by the instructor
- Parents are permitted on the pool deck during Learn To Swim lessons.
7. Safety
7.1 QSSA provides qualified swimming instruction in a safe environment.
7.2 Parents remain responsible for supervising their children before lessons begin and immediately after lessons conclude.
7.3 Swimmers must follow all instructions given by QSSA staff.
7.4 Any swimmer behaving in a manner that places themselves or others at risk may be removed from the lesson.
8. Cancellation & Notice Period
8.1 QSSA requires one full school term's written notice if you wish to discontinue swimming lessons.
8.2 Written notice must be submitted before the start of the final term your swimmer intends to attend.
Example:
If your swimmer will not be returning for Term 4, written notice must be submitted before the start of Term 3.
8.3 If the required notice is not received, the parent/guardian remains liable for payment of the following school term.
8.4 Temporary breaks or requests to "hold" a swimming space will be treated as cancellations unless otherwise agreed in writing by management.
9. Refund Policy
9.1 Swimming fees are non-refundable once the school term has commenced.
9.2 No refunds or credits will be issued for:
- Missed lessons
- Holidays
- Illness
- Withdrawal during the term
- Suspension due to unpaid fees
9.3 Any refund approved by QSSA management due to exceptional circumstances shall be entirely at the discretion of QSSA.
10. Communication
Parents agree that official communication may be sent via:
- Email
- WhatsApp
- QSSA App Chat
Parents are responsible for ensuring QSSA has their latest contact details.
11. Photography
QSSA may take photographs or videos during lessons for promotional purposes.
Parents who do not wish their child to appear in marketing material must notify QSSA in writing upon enrolment.
12. Changes to Terms & Conditions
QSSA reserves the right to amend these Terms & Conditions where necessary.
Parents will be notified of any material changes before they take effect.
